Members’ email list expands who can get documents

March 11, 2015

With Town Meeting to start April 27, members and the public will be able to use the town’s new email notification system, part of the Town Meeting email list.

This will allow the general public, as well as Town Meeting members to receive the documents posted to the list. It will also take away some of the administrative work, Town Moderator John D. Leone and Joan Roman, town public-information officer, said in a joint statement.

With the change, Town Meeting members can more easily subscribe and unsubscribe. To facilitate this transition, Leone asks all Town Meeting members to subscribe to the Town Meeting members’ email list here >>

At the bottom of the page select the “Town Meeting Members” box to subscribe.

Leone request members to do this now, as those involved are taking the old email list offline shortly and will no longer be posting to that list.

The Town Meeting member email list is a nondiscussion list. The purpose of the list is to disseminate materials to Town Meeting members about warrant articles only — including related substitute motions and presentations — in advance of debate and voting, so all members can be well prepared.

Although materials submitted to this list are restricted to members and town Officials, the public is welcome to subscribe and receive these materials.

Town Meeting member submission guidelines:

To post to the new list, you must follow these guidelines.

Materials to this email list are first reviewed by the moderator for appropriateness. Submissions must now be sent to: tmmmaterials [at] gmail.com and follow the schedule below for posting to the list.

1.) Main motions, substitute and amended motion must be submitted at least 48 hours before the meeting that they are to be voted upon;

2.) General materials relevant to a warrant article, such as is found on meeting member chairs in Town Hall, should be submitted by 10 a.m. on the day of the meeting.

All materials must be clearly marked as to who is submitting them — that is, name and precinct number, or which town department. Unidentified materials will not be posted.

Questions? Email or call Leone (JDLModerator [at] gmail.com; 781-648-2345) or Roman (jroman [at] town.arlington.ma.us, in the town manager’s office).
